The Administrative Coordinator is a highly organized and proactive professional who plays a key role in keeping teams aligned, operations running smoothly, and leaders focused on what matters most. Key Responsibilities
- Partners closely with Executive and Operational Leadership to manage complex schedules, coordinate travel, and support productivity initiatives that keep teams operating at their best.
- May lead and mentor administrative staff, fostering a collaborative, high-performing environment while effectively delegating and coordinating daily responsibilities.
- Plans and executes logistics for meetings, client engagements, and departmental events, ensuring seamless coordination from scheduling to materials and setup (in-person or virtual).
- Tracks key action items from meetings, prepares clear and concise summaries, and ensures timely follow-through on deliverables.
- Develops a strong understanding of company operations and strategy, contributing insights that support team alignment and organizational priorities.
- Handles sensitive information and communications with a high level of professionalism, discretion, and integrity.
- Identifies opportunities to improve administrative workflows and implements process enhancements that increase efficiency and consistency.
- Collects, analyzes, and organizes data from multiple sources to support departmental needs, producing reports that inform leadership decisions.
- Maintains accurate records of project metrics, budgets, and performance indicators, providing regular updates and visibility to leadership.
- Creates and maintains templates, tools, and documentation to standardize processes and promote best practices across teams.
- Aligns administrative functions with both technical and business objectives, ensuring seamless support across the organization.
- Education: Associate or bachelor’s degree in business administration, or a related field is preferred.
- Experience: Minimum of seven (7) years’ experience with an A/E firm is preferred.
- Licensure/Certification: n/a
- Proficient in Microsoft Office Suite (Excel, Word, Power Point, Outlook)
- Must possess the ability to work both independently and as part of a team, multitask, and have a flexible schedule to meet deadlines.
- Strong interpersonal skills, and the ability to interact professionally with clients, vendors, and other external sources.
- Must be able to maintain confidential information and uphold a high level of professionalism.
