Your Opportunity + Impact
The Program Coordinator plays a key role in supporting the success of a dynamic team by keeping projects, operations, and communications running smoothly. This position is ideal for a highly organized professional who enjoys coordinating multiple priorities, working with diverse teams, and contributing to meaningful projects.
Working closely with Program Managers, Project Managers, and technical staff, the Program Coordinator helps ensure projects stay organized, schedules stay on track, and teams have the information and resources they need to deliver high-quality results for clients. This role offers the opportunity to build strong project coordination, operations, and business support skills while contributing to impactful work.
Key Responsibilities
- Supports department and program goals by helping streamline workflows, improve team productivity, and assist with proposals, planning efforts, and day-to-day operational coordination.
- Collaborates with Program Managers, Project Managers, and Technical Leaders to support client needs, coordinate meetings, and help ensure projects remain aligned with schedules, budgets, and contract requirements.
- Coordinates project activities and deliverables—including scheduling, QA/QC reviews, travel logistics, cost estimate preparation, and meeting arrangements—to keep projects moving forward efficiently.
- Provides financial and administrative support such as project setup, billing coordination, invoice review, and basic financial tracking in collaboration with Accounting and Project Management teams.
- Builds strong working relationships with internal team members, clients, vendors, and external partners to ensure clear communication and smooth project coordination.
- Organizes team schedules, manages shared files and documentation, compiles reports, and assists with proposal preparation, document production, and submission tracking.
- Helps plan and facilitate team meetings, workshops, and client events by preparing agendas, coordinating logistics, and capturing clear meeting notes and action items.
- Successfully manages multiple priorities by staying organized, meeting deadlines, and maintaining high standards of quality and accuracy.
- Gains familiarity with the organization’s technical services, project processes, and business goals to better support team performance and program success.
- Education: Associate or bachelor’s degree in business administration, Project Management, or a related field is preferred.
- Experience: Minimum of seven (7) years job-related experience.

- Must possess the ability to work both independently and as part of a team, multitask, and have a flexible schedule to meet deadlines.
- Excellent organizational and time management skills to handle multiple tasks and meet project deadlines effectively.
- Strong oral and written communication skills, with the ability to work independently as well as collaboratively within a project team.
- Knowledge of budgeting, financial tracking, and project documentation best practices.
